Accounts Payable Assistant

Due to continued growth, we are looking for a highly organised and detail-focused Accounts Payable Administrator to join our Finance team.

The Role

Reporting to the Accounts Payable Manager, you will play a key role in ensuring the smooth operation of the purchase ledger function while delivering excellent service to suppliers, colleagues, and stakeholders across the business.

Key Responsibilities

• Processing supplier invoices and credit notes accurately and efficiently.
• Ensuring all transactions are coded correctly and supported by appropriate approvals and documentation.
• Matching invoices to purchase orders and maintaining compliance with purchase-to-pay controls.
• Managing supplier accounts, reconciling supplier statements, and resolving queries professionally and promptly.
• Preparing and processing weekly payment runs, ensuring suppliers are paid in line with agreed terms.
• Maintaining accurate supplier records and payment details.
• Managing the Accounts Payable shared inbox and responding to enquiries in a timely manner.
• Assisting with month-end, year-end, and audit activities.
• Reconciling utility accounts and supporting tenancy changes.
• Maintaining client Letters of Authority records.
• Processing refund reconciliations and allocations.
• Managing supplier onboarding and Vendor Caf administration, including following up invitations and assisting with invoice uploads.
• Identifying opportunities to improve processes, accuracy, and service delivery.

About You

We are looking for someone who has:

• Previous experience within an Accounts Payable or Finance Administration role.
• Strong attention to detail and a high level of accuracy.
• Excellent organisational and time management skills.
• Good Excel and Microsoft Office skills.
• Strong communication skills and the ability to build effective relationships with suppliers and colleagues.
• The ability to prioritise workloads and meet deadlines in a fast-paced environment.
• A proactive approach to problem-solving and continuous improvement.
